PROJECT MANAGEMENT AGREEMENT

The Project Management service which BRYDENS offers, is a fully encompassing and formal administration service backed up by a detailed, yet informal, technical involvement.

The contractual relationship vis-a-vis the Architect, is handled on the basis that the Architect accepts responsibility for technical issues and Brydens for administrative issues. This means there is a joint Principal agent appointment on the project.

PROJECT MANAGEMENT SERVICE

The service which BRYDENS offers, is all-encompassing; whereby we effectively act as an extension of the Developer's/Client's organization.
Overall objectives of the Client are established in advance, and BRYDENS then evolves, monitors, adapts and controls the strategy to accomplish these objectives, from project inception, through to, and beyond, the issue of the Certificate of Final Completion.

PRE-CONTRACT TASKS

  • Accept responsibility for the achievement of all project objectives
  • Negotiate all professional fees and make professional appointments on behalf of the Client.
  • Prepare and circulate customized Contract administration Procedures document to all relevant parties.
  • Receive brief from Client in terms of what must be constructed, to what standards, for whom, by when, and at what cost.
  • Communicate a brief to all team members, and prepare relevant programs to monitor the achievement of the project's objectives.
  • Monitor preparation of project budgets and cashflows.
  • Co-ordinate, manage and minute all Design Co-ordination meetings.
  • Generally direct the efforts of all parties towards the project objectives.
  • Provide advice to the Client, and the balance of the Professional Team in regard to tendering and negotiation requirements.
  • Vet all contract documentation prepared by the Quantity Surveyor to ensure fairness to both Client and Contractor.
  • Make appointments with the relevant Contractors, based on the recommendation of the Quantity Surveyor, and in accordance with pre-agreed budgets, on behalf of the Client.
  • Receive and approve for payment, all Professional fee invoices.
  • Report formally to the Client in writing, and in person, on a regular basis.
POST-CONTRACT TASKS

  • Hand over site to the Main Contractor.
  • Agree on programming with the Main Contractor.
  • Co-ordinate, manage and minute all formal weekly site meetings.
  • Monitor with the relevant Professionals, the quality of all elements of work on site.
  • Receive recommendations from the Quantity Surveyor on all sub-contract appointments and instruct the Main Contractor to make such appointments, provided it is within the agreed budget figures.
  • Administer and adjudicate all claims from the Main Contractor.
  • Monitor and control Contractor's program.
  • Ensure that all snagging is carried out timeously by the Professional Team.
  • Jointly agree with the Architect the dates for practical and final completion.
  • Report formally to the Client on a regular basis.
  • Ensure the collation of all project manuals, as-built documentation, guarantees, etc. for onward transmittal to the Client and Tenant as required.
  • Prepare Project Completion report
    Tenant Co-ordination of retail space is sometimes carried out separately from the principal Project Management Agreement as this is a very time-consuming and detailed exercise.
    Some tenants have a specialized in-house manager to carry out this work, and others utilize the services of the Property Brokers charged with the responsibility of letting the retail space.
    The following are tasks associated with Tenant Co-ordination:
    • Co-ordinate tenant meetings to receive information, prepare and agree on budgets and layouts together with the Professional team.
    • Co-ordinate with the Quantity Surveyor, tenant account information and obtain acceptance and guarantee (where applicable) from the tenant for the payment thereof.
    • Together with the Quantity Surveyor, advise the Client in regard to invoices to be sent to the relevant tenants.
    • Manage all aspects of the tenant installations, ensuring that the appointments are made through the Main Contractor, to ensure that the liability of the Contractor remains intact for the entire project.
    BRYDENS offers this as an optional service to Clients for a minimal additional fee.
